1.2 These terms should be read with the following documents, all available on our website: Cancellation, Refund & Transfer Policy; Student Code of Conduct; Complaints Policy; Appeals Policy; Reasonable Adjustments & Special Consideration Policy; Malpractice & Maladministration Policy; and Privacy Notice.

1.3 If anything in those documents conflicts with these terms, these terms apply.

1.4 Nothing in these terms affects your statutory rights as a consumer.

2. Booking and eligibility

2.1 Booking. You can book through our website, by telephone, by email or by another method we agree with you. Your place is confirmed when we have received the required payment and sent you written confirmation.

2.2 Minimum age. You must be 18 or over on the day your course starts. Some courses may have a higher minimum age, which will be stated in the course information.

2.3 Entry requirements. Each course lists its entry requirements and any prerequisite qualifications. Please check you meet them before booking. You must send evidence of any required qualifications within 7 days of booking, unless we agree otherwise in writing.

2.4 If you cannot provide that evidence, we may offer a conditional place, move you to a later date or cancel your booking. Section 5 explains refunds in that case.

2.5 Identity checks. For regulated qualifications, our awarding organisations require us to check your identity before we register you. You must show us an original photographic ID, such as a passport or UK photocard driving licence. The name and date of birth we register must match your ID, because they will appear on your certificate. We record that the check took place and only keep a copy of your ID where there is a lawful reason to do so.

2.6 Right to study. You are responsible for making sure you are allowed to take your course under any visa or immigration conditions that apply to you. We may ask for evidence where relevant.

2.7 English language. All teaching, materials and assessments are in English. You need enough spoken and written English to follow instructions, work safely in practical sessions and complete your assessments.

2.8 If we have concerns about your English, we will discuss them with you before your course starts and may suggest language support or a later start date. We will only decline a booking on language grounds where safety or the qualification requirements make it necessary.

3. Health, support needs and adjustments

3.1 Please tell us about any medical condition, injury, disability, pregnancy, medication or learning need that may affect your training. The best time is before your course starts, so we can plan support.

3.2 Telling us is voluntary, but we can only arrange support if we know about it. Information you share is kept confidential and only passed to staff who need it.

3.3 We will never refuse a place just because of a health condition or disability. Where there is a safety concern, we will talk it through with you and consider adjustments or alternatives first.

3.4 Reasonable adjustments. We will consider reasonable adjustments to how you learn and are assessed, in line with our awarding organisation’s rules. Adjustments help you show what you can do; they cannot change the skills and standards the qualification requires.

3.5 Special consideration. If illness, injury or another serious event affects you at the time of an assessment, tell us as soon as possible. We will consider your circumstances under our Reasonable Adjustments & Special Consideration Policy.

4. Fees and payment

4.1 What your fee includes. The course page and your booking confirmation show exactly what your fee covers. Unless stated otherwise, the fee for a regulated qualification includes tuition and practical training, course materials, access to Google Classroom, awarding organisation registration and first certification fees, and your first attempt at each assessment. Any extra costs, such as uniform or your own equipment, will be listed before you book.

4.2 Short courses and CPD. Full payment is due when you book. Instalment plans are not available for short courses or CPD.

4.3 Regulated qualification courses. A deposit secures your place; the amount is shown on the course page. The deposit is non-refundable once your cooling-off period has ended (clause 5.2), because we reserve your place and may pay registration fees on your behalf. The balance is due before the course starts, unless we have agreed an instalment plan with you in writing.

4.4 Instalment plans. For regulated qualification courses only, we may offer a deposit plus 2 or 3 monthly payments, interest-free. If you take an instalment plan:

(a) you agree to pay the full course fee, even if you stop attending after your cooling-off period has ended;

(b) cancelling your place does not automatically cancel the payments still due, but section 5 will be applied to work out what you owe; and

(c) all instalments must be paid by the last day of your course, unless we agree otherwise in writing.

4.5 Unpaid fees and certificates. Where fees remain unpaid, we may delay requesting or releasing your certificate until the balance is cleared, where the law and our awarding organisation’s rules allow. This will never affect any assessment decision. We will tell you in writing before doing so and give you a chance to pay or agree a plan.

5. Cancellations, refunds and transfers

5.1 How to cancel. All cancellation, refund and transfer requests must be made in writing to info@elevatetrainingacademy.co.uk. The date we receive your email is the date we use.

5.2 Your 14-day cooling-off period. If you book online, by phone or by email, you have the legal right to cancel within 14 days of the day we confirm your booking, for any reason.

(a) If you cancel within 14 days and your course has not started, we will refund everything you have paid, including your deposit.

(b) If you asked us to start your course, or give you access to course materials, within the 14 days and then cancel, you can still cancel. We may deduct a fair amount for the training you have already received.

(c) If you ask for and receive access to digital materials during the 14 days, you agree that your right to cancel the digital materials ends once you start accessing them.

5.3 If you want your course to start within your 14-day period, we will ask you to confirm this in writing when you book.

5.4 Cancelling after your cooling-off period. Once your 14 days have ended, the following refunds apply:

When you cancel (before the course start date)	Refund of fees paid
28 days or more	100%, less the non-refundable deposit
15 to 27 days	75%
8 to 14 days	50%
7 days or fewer, or after the course has started	No refund

5.5 These charges reflect the cost to us of holding your place and any registration fees already paid. If we are able to fill your place, we will consider a larger refund. Approved refunds are paid within 14 days to the original payment method.

5.6 Transfers. You may ask to move to a later date of the same course, subject to available places. One transfer requested at least 14 days before your start date is free. Later or further transfers may carry an administration fee of [£ amount].

5.7 If we cancel or change your course. We may occasionally need to change dates, venue, tutor or timetable. If a change is significant, or if we cancel your course, we will tell you as soon as possible and you can choose either a place on another date of the same course or a full refund of the fees you have paid for that course.

5.8 Events outside our control. If we cannot deliver your course because of events outside our reasonable control, such as severe weather, flooding, fire, utility failure or government restrictions, we will offer another date first. If no suitable date is available, we will refund the fees for training you have not received.

6. Attendance, practical training and conduct

6.1 Your responsibilities. You agree to:

(a) attend all scheduled sessions on time and tell us in advance if you will be absent or late;

(b) complete all theory, practical and portfolio work by the deadlines we give you;

(c) follow tutor instructions, our policies and the Student Code of Conduct;

(d) treat staff, other learners, clients and models with courtesy and respect; and

(e) keep us informed of any change to your contact details, health or circumstances.

6.2 Attendance. Full attendance is expected. If you miss a session, you are responsible for catching up, and we will agree a catch-up plan with you.

6.3 Practical training. Practical training involves both giving and receiving treatments with other learners, under supervision. You are expected to take part unless a health reason or other circumstance has been agreed with us.

6.4 Clients and models. Some assessments must be carried out on real clients or models. The course information will explain what is needed, including any awarding organisation rules about who can act as a model. On laser and IPL courses, all models must be 18 or over and complete a consultation and any required patch test or test shot before treatment.

6.5 Dress and appearance. Keep a professional appearance and good personal hygiene. Tie back long hair and keep jewellery to a minimum in practical sessions. Wear the practical clothing listed for your course, for example plain shorts, a plain T-shirt or polo shirt and clean, closed-toe shoes. If you are not suitably dressed, you may not be able to take part in the practical session until you are.

6.6 Health and safety. Follow all health and safety rules, infection control measures, risk assessments and tutor instructions. Do not attend under the influence of alcohol or illegal drugs. Tell your tutor before practical work if you are taking medication that could affect your safety or others’. Smoking and vaping are not allowed inside the premises.

6.7 Fitness to take part. If we have a genuine concern that you cannot take part safely, we may pause your practical participation. We will discuss it with you, agree what support is needed and resume as soon as it is safe.

6.8 Confidentiality. You may learn personal information about clients, models or other learners. You must keep it confidential and not share it outside the Academy without permission.

6.9 Behaviour. Bullying, harassment, discrimination, abusive, dishonest or unsafe behaviour is not accepted. We will investigate concerns fairly and give you a chance to respond. Serious or repeated misconduct may lead to removal from the course, and any refund will follow section 5.

7. Assessment and certification

7.1 Assessment. You must complete all required theory, practical and portfolio assessments to the standard set by the awarding organisation. Regulated qualifications are awarded by VTCT Skills or another named awarding organisation, and you must follow their assessment rules.

7.2 Reassessment fees. Your fee includes your first attempt at each assessment. If you need to retake an assessment, the following fees apply:

Reassessment	Fee
Theory	£30 per assessment
Practical	£50 per assessment

7.3 These fees include any awarding organisation charges [confirm]. No fee is charged if a reassessment is needed because of our error or an upheld appeal.

7.4 Your own work. All work you submit must be your own. You are responsible for its accuracy and originality, including where you have used AI tools. We may check work using plagiarism and AI-detection tools and, if we have concerns, ask you to explain or show your knowledge in a discussion.

7.5 Malpractice. Plagiarism, collusion, copying, contract cheating, impersonation, falsifying evidence or unauthorised use of AI is malpractice. It will be investigated under our Malpractice & Maladministration Policy. Outcomes can include the work not being accepted, disqualification from the assessment, removal from the course and reporting to the awarding organisation.

7.6 We keep assessment records and plagiarism and AI-detection reports as part of our quality assurance.

7.7 Certification. We will claim your certificate from the awarding organisation once you have passed all theory and practical assessments, your portfolio evidence has been completed and quality-checked where required, and all awarding organisation requirements are met. Clause 4.5 explains what happens if fees are unpaid.

7.8 Certificates are issued by the awarding organisation and can take several weeks to arrive. Replacement certificates may carry an administration fee plus the awarding organisation’s charge.

8. General terms

8.1 Communication. We send course information by email and post learning materials, updates and announcements on Google Classroom. Please check both regularly, including your junk or spam folder. For urgent changes we may also contact you by the methods you chose on your enrolment form.

8.2 Phones and recording. Keep phones on silent during teaching and practical sessions and take calls during breaks unless there is an emergency. Do not photograph, film or record sessions, learners, clients or models without our permission.

8.3 Equipment. Use Academy equipment safely and as instructed, and report any fault or damage straight away. If you damage equipment through deliberate misuse or negligence, we may ask you to pay a reasonable share of the repair or replacement cost.

8.4 Social media. Do not post photos, videos or identifiable information about clients, models, other learners or Academy activities without our written permission.

8.5 Course materials. Our manuals, presentations, videos and online resources belong to us. You may use them for your own study but must not copy, share or upload them without our written permission.

8.6 Your personal data. We process your personal information in line with UK GDPR and the Data Protection Act 2018, and share necessary details with the awarding organisation for registration and certification. Our Privacy Notice explains what we collect, why, how long we keep it and your rights.

8.7 Complaints and appeals. If you are unhappy with our service, please follow our Complaints Policy. If you disagree with an assessment decision, please follow our Appeals Policy. If you are still not satisfied after our internal process, you can take your complaint or appeal to the awarding organisation, such as VTCT Skills. Our policies explain how and give the timescales.

8.8 Our liability. We will deliver your course with reasonable care and skill. We are not responsible for losses that were not foreseeable, or for business losses such as lost income. If we are found liable to you, our total liability for any claim is limited to the course fees you paid.

8.9 Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit.

8.10 Personal belongings. Please look after your belongings. We cannot accept responsibility for their loss or damage unless it was caused by our negligence.

8.11 Changes to these terms. We may update these terms from time to time. The version in force when you booked applies to your course, unless a change is required by law or by our awarding organisation.

8.12 Governing law. These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.

8.13 Acceptance. By booking a course, you confirm that you have read and agree to these terms and the documents listed in clause 1.2.
